Receipt Playbook

  • Photo receipt in app same day; tag attendees + purpose.
  • Split entertainment lines; do not claim combined total.
  • Manager approval over threshold; monthly sample review — see AP Fraud.
  • File in close binder — see Month-End Close.

Enforce coding per Chart of Accounts and QuickBooks vs Xero.

Worked Example: $4,200 Client Dinner

Line Amount Deductible
Food + beverages $3,100 50% → $1,550
Private-room fee (meal-related) $400 50% → $200
Ballgame tickets after dinner $700 $0 (entertainment)
Claimed   $1,750 (not $4,200)

The $700 tickets die even though business was discussed — post-TCJA entertainment is nondeductible regardless of context. Splitting the bill into lines with separate business purposes is the difference between a $1,750 deduction and a full disallowance plus accuracy questions. Code meals and entertainment to separate GL accounts from day one — see Chart of Accounts.

Travel Meals and Per Diem (With Rules)

Away-from-home overnight unlocks the 50% travel-meal deduction, but two tests still apply: the trip itself must be business (not a personal trip with a meeting attached), and you need the same amount/date/place/purpose logs. Federal per-diem rates (GSA for CONUS, State for OCONUS) simplify amounts — you still need itinerary + business purpose per day. Unsubstantiated per-diems paid through payroll become wages, not deductions. For S-corp owners, run everything through the accountable plan with timely expense reports; advances outstanding over 120 days risk reclassification to wages — see S-Corp and Payroll.

Office Parties That Qualify for 100%

The 100% events share three traits: primarily for employees (plus families), open beyond officers/owners, and documented as such. Holiday party with plus-ones and the warehouse crew: qualifies. “Team dinner” for three executives at a steakhouse: 50% at best. Employer-operated eating facilities (on-site cafeteria) sit under separate de minimis tests — confirm before claiming 100%. Keep the invite list and photos with the receipt; “all-hands celebration” on the calendar with only executives in the photos fails on examination.

Common Disallowances

  • Lavish, undocumented, or attendee-missing meals.
  • Entertainment bundled as meals.
  • Personal meals coded to business without purpose.

Retain per Audit Procedures.

FAQ

Do per diems simplify?

Yes for travel, but business-purpose and away-from-home tests remain. Retain itinerary.

What about coffee meetings?

Same 50% meals test if business purpose and presence met; log it.
