Fee Math That Matters (Worked)

$40k average balance, 200 transactions/month:

Bank Monthly fee Transaction overage Net with APY Real cost
Online no-fee, 0.5% APY on sweep $0 $0 +$200/yr interest −$200 (earns)
Branch bank, $30 fee waived at $25k $0 if balanced $0.40 × 50 extra +$40/yr ~$0
Same branch bank, balance dips to $20k $30 × 12 $240/yr overage +$40 ~$560/yr

The “free” branch account costs $560 in the dip year. Model fees at your trough balance, not your peak — and include wire fees ($15–$35 domestic) if you pay contractors internationally (see FX Hedging). Re-score annually; banks change fee schedules every January.

Fraud Controls in Practice (What Auditors Test)

Positive pay alone is table stakes. What separates passing from failing files:

  1. ACH debit block + filter. Unknown originators bounce automatically; new vendors go through allow-list approval with callback — see AP Fraud.
  2. Dual release with different devices. Maker-checker on the same laptop is theater; enforce separate credentials and, for wires over threshold, out-of-band approval.
  3. Daily exception review. Positive-pay exceptions must clear by the bank’s cutoff (often 11am–2pm) or they pay by default. Assign a backup reviewer — vacations cause the exceptions that cause the losses.
  4. Feed + statement tie. Daily feed review catches fraud fast; the monthly signed rec proves completeness — see Bank Rec and Month-End Close. Unreconciled clearing over 30 days is where fraud hides.

Retain user-access reviews quarterly (who has admin, who left, who changed roles) per QuickBooks vs Xero and NIST.

Multi-Entity and Sweep Design

At 3+ entities, one operating account per entity plus a concentration account with end-of-day sweeps beats manual transfers. Rules: zero-balance accounts sweep nightly, intercompany recorded same-day with confirmations (see Related Party), and each entity keeps its own tax-reserve sub-account so estimates never compete with payroll — see Estimated Taxes. Confirm sweep logic with Treasury before audit season, not during it.

FAQ

Should we chase APY?

Only after fees, limits, and controls. A $30 fee erases APY on small balances.

What breaks audits?

Missing statements, mixed personal spend, and unreconciled clearing.

Next Steps

  1. Score on fees, limits, sync, and controls — not APY alone.
