Worked Example: $18k/Month Card Spend

Setup Annual outcome
No card, ACH/wire only $0 rewards, slower float, manual coding
Flat 2% cash-back, paid in full ~$4,320 back, one statement to reconcile
Same card carried at 24% APR for 6 months ~$2,160 rewards − ~$2,100 interest − late risk = ~zero

The math is unforgiving: one carried quarter wipes a year of points. Autopay in full, and treat the credit limit as a control (spend cap), not a loan. Log the personal guarantee in the debt schedule for Going Concern and covenant review — see Debt.

Card Program Tiers (By Stage)

Stage Setup Controls
Solo / 1–3 staff 1–2 owner cards, $5–10k limits Receipt app + monthly owner review
5–20 staff Named cards per spender, department limits Manager approval over $500, finance sample — see Expense Management
20+ / multi-entity Virtual cards per vendor/subscription + physical for travel PO matching, ERP sync, quarterly access review — see Netsuite vs Intacct

Virtual cards deserve emphasis: a unique number per subscription kills zombie renewals (cancel the card, kill the charge) and contains breach blast radius. Most Expense Management platforms issue them free — use them for every SaaS seat and ad account.

Reconciliation Workflow (15 Minutes/Month)

  1. Feed imports to QuickBooks vs Xero daily; code to the Chart of Accounts.
  2. Match receipts (3-day rule); chase missing with automated reminder, then manager escalation.
  3. Reconcile statement to GL like a bank account — outstanding = pending charges only, aged items investigated.
  4. Reviewer signs; personal spend flagged and reimbursed back same month, never netted silently.

Mixed personal/business spend is the #1 card audit finding. One personal charge with same-month reimbursement and a note is a teaching moment; a pattern is a control failure — see AP Fraud.

FAQ

Should we chase points?

Only after controls and on-time pay. Interest erases rewards fast.

What breaks audits?

Shared cards, missing receipts, and mixed personal spend.

Next Steps
